User roles & permissions explained

Owner vs admin vs manager vs technician vs viewer, who can do what, and how to change it. Start by go to Team and open any member to see their current role.

What it does

Every team member has one role that controls what they can see and do. Owner: full control including billing, cannot be locked out. - Admin: full tenant access, subject to permission settings. - Manager: runs day-to-day operations with feature-scoped permissions you control. - Technician: works jobs in the Field Agent view. - Viewer: read-only field access. Manager permissions are fine-tuneable per feature, so you decide whether managers can see invoicing, billing or HR data.

When to use it

Review roles whenever someone joins, changes duties, or leaves, and before granting anyone access to financial screens.

Steps

  1. Go to Team and open any member to see their current role
  2. Assign the role when inviting: Invite Team Member → choose role
  3. Owners and admins can adjust manager feature permissions under System Settings
  4. Technicians and viewers automatically use the Field Agent view, no extra setup

About 5 minutes.

What it solves

Eliminates the all-or-nothing access problem where every staff member either sees your finances or cannot do their job.

Why it matters

Correct roles protect sensitive business data, reduce mistakes from unfamiliar screens, and keep each person's workspace focused on their actual job.
