Client portal
A client portal is a signed-in area where your customers can see their own jobs, quotes, invoices and documents without phoning your office. It reduces status calls, gives customers a record they can find for themselves, and gives them a route to request new work at any hour.
What customers do in a portal
Customers use a portal for four things: checking the status of current work, finding a past invoice or quote, requesting a new service, and paying. Each of those is a phone call to your office that does not happen.
The volume matters more than it sounds. A firm handling forty status calls a week is spending most of an administrator's time answering a question a portal answers instantly.
What it changes for your office
It changes the shape of your admin work from responding to preparing. Instead of answering the same question forty times, the office keeps the job statuses current and the portal does the answering.
It also creates a written record of the customer relationship that is not sitting in one person's inbox, which matters when that person is on leave.
What to look for
Look for your branding on it, visibility of the documents customers actually ask for, a request route that creates real work in your system rather than an email, and an online payment path.
Omni Field provides a white-labelled client portal showing jobs, invoices, estimates and shared documents, service requests that create jobs and notify dispatch automatically, and online payment through Paystack. Customer messaging alongside it goes out by email and WhatsApp.
